Recurring Appointments for Regular Clients - Book Once, and the Next Ones Are Already in the Calendar

A client who comes every week at the same hour should not have to book every time. How to set a daily, weekly or monthly recurring appointment in Timing, what to do when a week needs skipping, and what to check after saving.

The Short Answer

A recurring appointment is booked once and repeats on its own: every day, every week on the days you choose, or every month. In Timing you open "Add appointment", tick "Recurring" and choose how often and when the series ends. Every repeat lands in the calendar as an ordinary appointment, and its times are no longer offered to other clients on the booking page. Recurring appointments are on every plan, the Free plan included.

Who It Suits

  • Trainers and instructors: a client who comes Mondays and Thursdays at 07:00.
  • Private tutors: a standing lesson every Tuesday after school.
  • Therapists and consultants: a weekly session at the same hour, for months.
  • Barbershops and clinics: a client who comes once a month, on the same day of the month.

What they share: the client does not have to remember to book, and you do not have to chase them to fill next week. A client with a standing time also forgets less, which is why a standing slot is one of the methods to reduce no-shows.

How to Book a Recurring Appointment in Timing

  1. On the "Calendar" tab, tap "Add appointment", or tap the time you want in the calendar.
  2. Pick the client, service, time and team member, as for any appointment. Every repeat in the series lands at the same time.
  3. In the "Date & Time" card, tap "More options" and tick "Recurring".
  4. Under "Frequency" choose "Daily", "Weekly" or "Monthly". For weekly tick the days, and for monthly the day of the month.
  5. Under "Ends" choose "On date", "After" and a number of times (up to 52), or "Never".
  6. Tap "Save", and look over the calendar.

Three Ways to End a Series

  • On a date: for a known period, such as a school term, a three-month training plan or a course of treatments.
  • After a number of times: when you agreed on a number of sessions, for example ten lessons. For a weekly series, the number counts weeks.
  • Never: for an open series. Timing adds new repeats to the calendar on its own as the dates come closer.

If you prefer control, give every series an end date, and book a new one when it comes up. That way no series stays in the calendar after the client stopped coming.

What the Client Gets

From the Basic plan (₪79 a month), with client messages on, the client gets one WhatsApp confirmation when you book the series, not a message for every repeat. Before each appointment in the series a WhatsApp reminder goes out, at the time you chose, as before any other confirmed appointment. The Free plan has no WhatsApp messages and no automatic reminders. How the WhatsApp reminders work.

Skip a Week, Move, Stop

  • Skip a week: open that week's appointment in the calendar and cancel it. Cancelling from the appointment affects only that one, and the rest of the series stays.
  • Change the time or details: when you save a change to an appointment in a series, Timing asks what it applies to: "Only this occurrence", "This and future occurrences" or "All occurrences in the series".
  • End the series: deleting asks the same question. "This and future occurrences" stops the series from that appointment on, and the appointments that already happened stay in the history.

Two Things to Check After Saving

  1. Clashes. The repeats go into the calendar with no check against your hours or other appointments. Look over the coming weeks and move anything that clashes, such as an appointment that falls on a holiday eve.
  2. A frequency that does not exist. The choices are daily, weekly and monthly. For a client who comes every other week, book a weekly series and cancel the weeks in between, or book single appointments.

A Standing Slot and a Punch Card

A regular client is often also a client with a punch card: ten training sessions, eight lessons, a course of treatments. From the Professional plan you can sell them a card and take a visit off it at each appointment (the feature is opening to businesses gradually). How it works is in the guide to punch cards and memberships.

Where to Start

Go over the clients who come regularly, and ask each one at their next visit whether to hold their standing time. Start with a series that has an end date, for example the end of next month, and see how the calendar looks. Start free: creating your business takes about 3 minutes, and recurring appointments are included on the Free plan too, which allows up to 15 appointments a month.

Frequently Asked Questions

How do I book a standing appointment every week?

Open "Add appointment", fill in the client, service and time, and in the "Date & Time" card tap "More options" and tick "Recurring". Choose "Weekly", tick the days and choose when the series ends. Every repeat lands in the calendar as an ordinary appointment.

Are recurring appointments included in the Free plan?

Yes. Recurring appointments are on every plan. The WhatsApp confirmation and the reminders before each appointment in the series start on the Basic plan.

Can an appointment repeat every other week?

There is no such frequency: the choices are daily, weekly and monthly. For a client who comes every other week, book a weekly series and cancel the weeks in between, or book single appointments.

What happens when I cancel one appointment in the series?

Only that appointment is cancelled, and the rest of the series stays in the calendar. Changing or deleting an appointment in a series asks whether it applies to that one only, to it and the ones after it, or to the whole series.

Is the series checked against other appointments?

No. The repeats go into the calendar with no check against your hours or other appointments, so look over the calendar after saving and move anything that clashes. The booking page no longer offers the series' times to other clients.
